Free Spending Record Printable: A Simple Way to Track Where Your Money Actually Goes

If you’ve ever reached the end of the month and thought, “Where did all my money go?” — you’re not alone. That exact question is why I designed this Spending Record printable insert: a clean, no-fuss expense tracker you can drop straight into your planner or binder and start using today.

Why I Made This Printable

I built SmilelineCo around one idea: better systems make better days. Budgeting apps are great, but I kept coming back to paper for one simple reason — writing a purchase down by hand makes you feel it. There’s a small pause between spending the money and logging it that app auto-sync just doesn’t give you. That pause is where better habits start.

So I designed a spending tracker that’s intentionally simple. No categories forced on you, no complicated columns, no monthly budget caps built in. Just four honest columns — Date, Category, Details, Amount — repeated in a clean grid, front and back, so you always have room to log the next purchase without hunting for space.

What This Spending Record Is For

This insert is a daily expense log, not a full budget planner — and that’s by design. It’s meant to sit inside your binder as your ongoing “receipt book,” the place every purchase gets written down the moment it happens. Here’s what people typically use it for:

  • Daily expense tracking — jot down every coffee, grocery run, or online order as it happens
  • Cash spending logs — perfect for anyone doing a cash envelope system who needs a paper record to match
  • Category spending awareness — leave the Category column open so you can track your categories (groceries, subscriptions, kids, pets, whatever fits your life)
  • Budget audits — flip back through a few weeks to spot spending leaks before they become a pattern
  • Shared household tracking — a physical page both partners can add to without needing to open an app
  • Freelance or small business petty cash — a lightweight paper trail for out-of-pocket business expenses

Because it’s undated and open-format, you can start using it any day of the month — no waiting for the 1st to “start fresh.”

Sizes and Print Specs

This printable comes in three sizes, all exported print-ready at their true dimensions:

  • A4 (210 × 297 mm)
  • A5 (148 × 210 mm)
  • Personal Size (for Filofax-style ring binders)

Each file is set up as a direct-output size — meaning what you download is exactly what should print, with no scaling needed in your print settings.

If you don’t have A5 or Personal-sized paper on hand: print the file on standard A4 or US Letter paper and trim it down to size afterward. This is actually how I print my own inserts at home.

From Download to Binder: My Printing Workflow

Here’s exactly how I go from PDF to a finished page in my binder:

  1. Print at actual size. I use an Epson printer and always select “Actual Size” (not “Fit to Page”) in the print dialog, so the trim lines line up correctly.
  2. Trim to size. I cut down to the exact A5/Personal dimensions using a craft knife, a stainless steel ruler, and a self-healing cutting mat — this combo gives much cleaner edges than scissors, especially on grid lines.
  3. Punch holes. Once trimmed, I use a hole punch sized to match my binder’s ring system (6-ring Personal/Filofax punches are different from standard A5 disc or ring binders, so double check before buying).
  4. Load into your binder and you’re ready to start logging.

FAQ

Is this printable really free?
Yes — the Spending Record is a free download available in A4, A5, and Personal sizes.

What paper works best for printing?
Standard 24–32lb printer paper works well for daily use; if you want a bit more durability for a page you’ll handle often, a slightly heavier cardstock (65–90lb) holds up nicely too.

Can I use this without a specific budgeting method?
Yes. The open Category column means it works whether you follow zero-based budgeting, the cash envelope method, or you’re just trying to build the habit of writing purchases down.

Does this come three-hole-punched or pre-cut?
No — this is a digital download (PDF) that prints at true size. You’ll trim and punch it yourself, as described above.
